Jobs and invoicing
What is FieldLedger?
FieldLedger turns your crew's job reports into invoices. Your crew reports each job in Telegram. You review, approve and send the invoice from your own Gmail, and you can see which customers still haven't paid.
Who is it designed for?
Owner-run service businesses with 2–15 field workers that bill repeat or business customers by the job or by the week. It isn't built for large field-service companies with 50+ technicians and dispatch teams.
How does a job report become an invoice?
You choose. You can create the invoice from the dashboard by picking a customer's jobs for the period. Or you can turn on automatic drafts, and FieldLedger drafts one invoice per customer weekly, every two weeks or monthly, from the work you've reviewed. Either way, nothing is sent until you approve it and tap Send.
Do workers need to install another app?
Workers only need Telegram. They never log in to a dashboard. They use a Telegram bot and follow button prompts, adding text and photos when needed.
What information can workers submit through Telegram?
Your crew lead files each report with:
- the date and project
- the work done, picked from your saved list or typed in
- who was on the crew
- hours or days per person
- before and after photos
Any worker can send job photos. If you turn it on, workers can also add their own work and hours to a report that's already been filed.
Can I review and edit invoices before sending?
Yes. Every invoice starts as a draft. In the dashboard, you can edit line items, work descriptions, hours, rates, tax and your own billable time, then approve it. You can review and approve from the dashboard or from your phone in Telegram.
Does FieldLedger send invoices automatically?
No. Approving an invoice doesn't send it. It goes out only when you tap Send, as a PDF from your own Gmail, and it shows up in your Sent folder. If FieldLedger detects a bounced invoice email, it tells you so you can fix the address and resend.
Gmail and your data
Why does FieldLedger need Gmail access?
It needs three things:
- Send permission, so invoices come from your real address.
- Read permission, so it can spot customers' remittance notices ("we've paid invoice 1042") and emails that bounced.
- Your email address, so it knows which mailbox is connected.
FieldLedger never sells your data, and you can disconnect at any time.
What Gmail information does it access and keep?
FieldLedger reads recent messages in your connected Gmail mailbox to identify remittance notices and bounced emails. This means checking messages before we know whether they are relevant. It stores copies of messages that look like payment notices or contain PDF attachments. Some may turn out to be unrelated.
- Copies with no invoice match are deleted after 90 days. Dismissed copies are deleted 90 days after dismissal.
- Copies associated with a pending or confirmed invoice match, or a recorded payment, are kept with your records.
- Only people in your organization with permission to review remittances can see them.
- Disconnecting Gmail stops future access and deletes the stored sign-in tokens. We also request revocation at Google. Email copies already stored are not deleted automatically.
How is my data protected and deleted?
- Data is encrypted in transit and at rest.
- Gmail access tokens and workers' tax ID numbers get extra encryption, with keys managed in AWS.
- Your organization's data is separated from other customers' data, and field workers can't see invoices, rates or payments.
To delete your account, email info@fieldledger.pro and we'll delete your data within 30 days, except records the law requires us to keep. Deleted data may remain in encrypted backups for up to 30 days until those backups expire, and we don't restore it except to recover from an outage.

Payments and exports
How does payment tracking work?
When a customer emails a remittance notice, FieldLedger looks for a matching invoice. By default, suggested matches need your confirmation before a payment is recorded. You can also record full or partial payments yourself, and you always have a list of who owes you and how overdue they are.
FieldLedger doesn't connect to your bank or take card payments. Customers pay you the way they do today.
Can my accountant export the records?
Yes. Your accountant can export:
- invoice summaries as CSV or Excel
- a QuickBooks Online import file
- payroll hours
- a payment ledger
All of these exports are available in the dashboard. Invoice summaries and QuickBooks import files can also be requested through Telegram. Export files are deleted after 30 days, so download them when you need them.
